ROLES AND FUNCTIONS OF MEMBERS, RESOURCE PERSONS, DONORS, BENEFACTORS AND COMMITTEES

I MEMBER

I.1    must have concern for others
I.2    sees involvement in the association as vocation to pursue with commitment
I.3    considers the association as family working as one in realizing its mission and vision
I.4    does not expect to gain from involvement in the association other than the sense  of fulfillment in helping others
I.5    plays active role in the association through membership in any of its committees.
I.6    performs the tasks assigned to him by his committee
I.7    attends committee meetings and meetings called for by the Board of Directors
I.8    pays membership fee and other fees and contributions the association may  require
I.9    participates in fundraising activities and recommends to the Board of Directors any potential donor or benefactor
I.10 is not allowed to collect money or any form of assistance from the benefactor without the Board’s authorization

II RESOURCE PERSON

II.1    helps the association according to his field of specialization, like in technology and the arts
II.2 is different from the “active” member in that he doesn’t belong to any committee; as such, he is considered “honorary member”
II.3    his services are sought only when need arises

    III DONOR

III.1   functions the same way as benefactor, except that he gives assistance not in financial form but in kind, like books, school supplies, food, clothing, venues for activities, etc.

    IV  BENEFACTOR

IV.1    provides financial assistance to the beneficiary
IV.2    courses assistance through the association alone and is prohibited from giving assistance directly to the beneficiary
IV.3 may be an individual, a company, a church organization, a non-government organization, a people’s organization, or any similar group of good standing
IV.4 may be a politician, as long as he is informed of the association’s mandate as a non-political organization
IV.5    may give pledge for more than one beneficiaries
IV.6    pledges an amount based on an estimate of how much the student spends in a school year  
IV.7    may extend other forms of assistance other than financial
IV.8    does not participate in actual operations of the association, unless the Board allows
IV.10   may also function as donor, member or resource person, if the Board allows
    
    VI  COMMITTEES
   
WAYS AND MEANS
1    Scouts for resources needed in meetings and other activities
2    Handles petty cash for emergency use
3    Produces stopgap solutions to emergency situations
4    Works with Education committee on information dissemination
5    Coordinates with other committees
   
SCREENING
1    Receives applications for membership and for scholarship assistance
2    Screens and evaluates qualifications, credentials and other requirements of                   applicants for membership and scholarship assistance
3    Conducts interviews with applicants for membership and scholarship assistance
4    Endorses and recommends to the Board applicants for membership and scholarship       assistance
5     Coordinates with other committees

FINANCE
1    Reviews financial policies and procedures of the association
2    Updates the Board on the operations and financial status of the association
3    Advises the Board on matters concerning sources of funds and opportunities for funding
4    Checks financial status of association with donors, sponsors, benefactors and banking institutions
5    Recommends to the Board ways to raise funds
6     Coordinates with other committees

EDUCATION
1    Prepares seminars, lectures, retreats, trips and other similar activities for beneficiaries or members
2    Updates the association on news relevant to its operations.
3    Attends seminars, lectures and similar activities outside and echo learning to the Foundation
4    Works with Ways and Means committee on information dissemination
5    Coordinates with other committees

OVERSIGHT
1 Checks overall progress of association’s programs
2    Conducts visits to project site/s
3    Meets with local officials and school authorities
4    Deals directly with beneficiaries and their families
5    Coordinates with other committees

DOCUMENTATION
1    Keeps files of application forms of members and scholars and other pertinent documents
2    Preserves promotional materials like leaflets, posters, brochures, etc
3    Documents trainings, workshops and other programs and activities of the association
4   Coordinates with other committees
